1. Essential Travel & Safety Notes
At Bali Ubud Tour, guest safety and operational excellence are our top priorities. While our experienced local team takes every precaution to deliver a smooth and enjoyable trip, all travel involves inherent risks. We strongly advise every traveler to secure comprehensive travel insurance before commencing their journey in Indonesia.
1.1 Recommended Travel Insurance
Your personal insurance policy should cover trip cancellations, emergency medical treatment, medical repatriation, personal injury, accidental death, loss of personal baggage or money, and third-party personal liability.
1.2 Verification Requirements
Proof of valid travel insurance must be presented to Bali Ubud Tour upon request. Please note that default insurance coverage offered by credit card providers or reciprocal medical agreements is often non-comprehensive.
2. Booking Terms & Conditions
Please read these binding terms carefully. A legal contract is established between you (the guest) and Bali Ubud Tour and Travel (Indonesia) once we issue an official reservation invoice in response to your booking request.
2.1 Deposit & Payment Rules
Bookings are secured with a deposit (minimum 30% of total booking value, or IDR 1,000,000 for bookings valued at IDR 5,000,000 or below). Deposits are non-refundable unless canceled by us. Full final payment is due at least 20 days prior to your arrival date in Bali/Indonesia.
2.2 Transparent Pricing Policy
All prices are quoted in Indonesian Rupiah (IDR). Prices are guaranteed once paid in full. Unpaid quotes may adjust due to factors outside our control (severe currency fluctuations, fuel surcharges, or statutory tax changes). Unutilized meals, transport, or activities are non-refundable.
2.3 Guest Cancellation Policy
All cancellation requests must be submitted to Bali Ubud Tour in writing. Cancellation fees apply based on the notice received prior to your scheduled departure date:
More than 30 Days Notice: Free of Cancellation Fees (Deposit rules apply unless program is completely withdrawn by operator).
29 to 16 Days Notice: 50% Cancellation Fee of the total tour booking value.
15 to 0 Days Notice (or No-Show): 100% Cancellation Fee (No refund permitted for last-minute cancellations or non-arrivals).
2.4 Cancellations & Modifications by Operator
While we make every effort to operate all fixed itineraries as advertised, factors beyond our control may require operational adjustments. If a material modification (such as a date change or a departure time change exceeding 12 hours) occurs, we will offer you three choices:
- Alternative Equivalent Services: An alternative package of similar standard, subject to availability.
- Lower Standard Option: An alternative package of lower standard with a refund of the price difference.
- Full Cancellation Refund: Complete cancellation of the agreement with a 100% refund of all monies paid to us.
3. Guest Responsibilities, Health & Travel Documents
3.1 Special Requests & Accessibility
Please notify us of special needs (accessibility, ground floor preferences, or strict dietary requirements) at the time of booking. While we strive to fulfill special requests, we cannot guarantee third-party compliance.
3.2 Health & Passport Validity
Guests must hold a passport valid for at least six (6) months beyond the arrival date, possess proper Indonesian entry visas, and meet all official health/vaccination requirements.
3.3 Conduct & Group Safety
Guests must follow driver/guide instructions at all times. Disruptive or unlawful behavior, or damage caused to our vehicles or third-party properties, will result in immediate tour termination without refund.
3.4 Media & Photography Consent
We occasionally take photos or videos during tours for official promotional materials. Unless you explicitly opt out in writing prior to departure, you consent to our use of such promotional media.
4. Liability Limits & Legal Jurisdiction
Your booking is accepted on the understanding that you appreciate and assume the risks inherent in travel and adventure activities (e.g., rafting, ATV quad biking, trekking, snorkeling). Bali Ubud Tour acts as an agent when arranging third-party services (fast boats, specific attraction entries, external lodging) and accepts no liability for third-party defaults, natural force majeure events, or personal negligence.
Our liability is strictly limited to a maximum value equivalent to the total price of your tour package. This agreement is governed exclusively by the Laws of the Republic of Indonesia, and all parties submit to the exclusive jurisdiction of Indonesian courts.
5. Personal Data Protection & Privacy Policy
We take technical and organizational security measures to protect your personal information against unauthorized processing or accidental loss. All personal data collected is processed strictly in accordance with our legal obligations:
- Data Usage: Your details are used primarily to facilitate bookings, manage vehicle logistics, and issue travel vouchers.
- Third-Party Disclosure: Data is disclosed to third-party travel providers (e.g., fast boat operators, resort hotels) strictly as necessary to execute your travel itinerary.
- Marketing Opt-Out: We do not sell your personal data. If you prefer not to receive promotional materials via email, contact us at
